Three Things to Get Right Before You Start
1. Use IMAP. Always.
When the setup screen asks what kind of account this is, choose IMAP. Not POP. Not ActiveSync. Not Mobile Sync. Not anything else. IMAP keeps your email in sync across every device you use. POP downloads email to one device and removes it from the server, which is exactly what you do not want.
2. Get the Details Exactly Right
Email setup fails for one reason 99% of the time: a typo. One wrong letter in the server name, one wrong digit in the port number, one wrong encryption choice, and the connection will not work. Copy and paste from this page when you can. Double-check what you typed before you save.
3. If You Already Have the Account on Your Phone, Delete It First
If you are moving an existing email account to new settings, the cleanest move on a phone or tablet is to remove the current setup completely and then add it back fresh. Editing existing settings on phones is more trouble than it is worth.
Setup on a Computer (Outlook, Apple Mail, Thunderbird)
General Steps
Most desktop email programs follow the same pattern. The screens look different but the information is the same.
- Open your email program and find "Add Account" or "Add Mail Account" in the settings.
- Choose the option to set up manually (not the automatic "just enter your email" option). Automatic setup often picks the wrong settings.
- When asked what kind of account, choose IMAP.
- Enter the settings from the section above.
- For both incoming and outgoing servers, enter your full email address as the username, and your password.
- Save and test by sending yourself an email.
Outlook Specifically
Outlook sometimes tries to migrate from older email setups (like the legacy GoDaddy system) without asking. If that happens, cancel the migration and set up the account manually using the settings above.
If You Use the Built-In "Add Account" Wizard
The wizard will probably guess settings that are wrong. Always switch to manual setup when given the option.
Setup on iPhone or iPad
- Open Settings → Mail → Accounts → Add Account.
- Choose Other, then Add Mail Account.
- Enter your name, email address, password, and a description (whatever helps you identify it).
- Tap Next. The phone will try to figure things out automatically. It probably will not.
- When the manual setup screen appears, choose IMAP at the top.
- Under Incoming Mail Server, enter:
- Host Name: secure.emailsrvr.com
- User Name: your full email address
- Password: your password
- Under Outgoing Mail Server, enter the same three values. Yes, even though Apple labels it "optional," you need to fill it in.
- Tap Next. The phone will verify the connection.
- If verification fails, double-check every character of the server name, username, and password. One typo is almost always the cause.
Setup on Android Phones or Tablets
The exact steps vary by Android version and manufacturer (Samsung looks different from Google Pixel, which looks different from Motorola). The information you need is the same on all of them.
- Open your email app and go to the option to add a new account.
- Enter your email address and password.
- When asked what kind of account, choose IMAP (not POP, Exchange, or anything else).
- Enter the incoming server settings:
- Server: secure.emailsrvr.com
- Port: 993
- Security Type: SSL or SSL/TLS
- Username: your full email address
- Enter the outgoing server settings:
- Server: secure.emailsrvr.com
- Port: 465
- Security Type: SSL or SSL/TLS
- Username: your full email address
- Check the box for "Require sign-in" if asked
- Save and test.
Read Your Email in a Browser (Webmail)
If you do not want to set up email on a device, or if you just need to check email from someone else's computer, you can use webmail.
Desktop Browser
Go to https://webmail.emailsrvr.com/ and sign in with your full email address and password.
Phone Browser
Go to https://webmail.emailsrvr.com/mobile for the mobile-friendly version.
Common Problems
"Cannot Connect to Server"
99% of the time this is a typo in the server name or username, or the wrong port number. Go back through the settings and check every character.
"Authentication Failed"
This is usually a wrong password, or your outgoing server is missing the username and password. Both incoming AND outgoing need your credentials. Make sure you filled in both.
"I Set It Up On My Phone and Now My Computer Will Not Sync"
This is almost always because one device is set up as POP instead of IMAP. Delete the POP setup and add it back as IMAP.
